Finding your way around
Every page in Zhmara X follows the same pattern: a menu on the left, a list of records, and add, view and edit pages for each record. Once you know one module, you know them all.
The screen
- Left menu: one group per section (Products / Services, Sales, Purchases, Expenses, Assets, Cash Transaction, Bank, Budget, Accounting, Reports, Users, Settings). You only see sections that are in your plan and allowed by your role.
- Top bar:
- The bell shows notifications from Zhmara X, with the number you have not read yet. See Notifications from Zhmara X.
- The speech bubble (company owner only) opens Live Support, your conversation with the Zhmara X team, with the number of answers you haven't read yet. See Live Support.
- ? opens the help for the page you are on.
- The flag switches the language between English, Kurdish (کوردی) and Arabic. Kurdish and Arabic pages are shown right-to-left.
- The maximize icon switches to full screen.
- Your profile picture opens the Account Manager (profile, password, two-factor sign-in) and Logout.
Notifications from Zhmara X
The Zhmara X team uses the bell in the top bar to tell you about things such as planned maintenance, new features or your plan. A notice may go to every company, to some companies, or to the companies on certain plans. It may be meant for company owners only, or for every user.
- A notice is shown in the language you use the app in (English, Arabic or Kurdish).
- If you are signed in when a notice is sent, it appears at once. Otherwise you see it the next time you sign in.
- Info and Warning notices show a short pop-up and stay in the bell. Click a notice to mark it as read, or use Mark all as read.
- A Critical notice opens as a message box. Read it and click I understand to continue. You see it only once.
- Each notice disappears from the bell after its end date.
The company owner also gets payment notices in the bell, automatically: Plan renewed, Online shop order paid and, as a warning, Payment received but not recorded. They stay for 30 days. See Online payments.
Dashboards
- Dashboard › Shortcut Icons (the home page) has large buttons for the pages you use most.
- Dashboard › Financial Dashboard shows the whole company at a glance: liquidity, receivables, payables, net profit, income and expenses by month, and plan usage.
- Each module has its own dashboard with charts: Sales, Purchase, Expenses, Accounting, Cash & Bank and Fixed Assets (receivables and payables aging and expenses are shown as pie charts). See Dashboards.
Lists
Every list page (invoices, bills, items, customers...) has the same tools:
- Filter by date: Today, This Week, This Month, This Quarter, This year, or your own From / To dates. Most document lists show the last 12 months at first.
- Filter by status: All, Draft, Approved, Paid, Partially Paid...
- Search: by number (voucher no.), name or code.
- Sort by select: change the order.
- Download Excel: exports what the list currently shows.
- Action column: view, edit, clone or delete a row. Buttons you have no permission for are hidden.
Document pages
Every document page (invoice, bill, credit and debit note, quotation, receipt, payment, expense, income and outcome voucher, journal, adjustment, bank transaction, asset bill and payment, stock adjustment and transfer) is laid out the same way:
- At the top, the Back button next to the page title takes you back to the document's list, and the New button at the other end of the title starts a new document of the same kind (when you may create one).
- On the left, the list of documents of the same kind. Search by number or by customer or supplier name, filter by status (Draft, Approved, Paid...) and, on some pages, by period or type. Click a row to open that document; the open one is highlighted. Each row shows the number, date, customer or supplier, amount and status. On a phone the list is hidden, so use the Back button.
- On the right, the document itself, with its number, its status and a toolbar of buttons above it. The toolbar stays at the top of the screen while you scroll through a long document.
The toolbar buttons
The buttons are icons. Point at one (or move to it with the keyboard) to see its name. A button only shows when you have the permission for it and the document allows it, for example Edit is hidden on a paid bill and Approve shows only on a draft.
| Icon | Button | What it does |
|---|---|---|
| Edit | Opens the document to change it. | |
| (green) | Approve / Post | Moves a draft on: approves an invoice, bill, note, quotation or expense, or posts a journal, an adjustment or an income / outcome voucher. |
| Unpost | Takes a posted journal adjustment back to unposted. | |
| (blue) | Record Payment | Opens the Record Payment box on a sales invoice, purchase bill, expense voucher or asset bill. See below. |
| (blue outline) | Create Credit Note / Create Debit Note | Starts a credit note for this invoice, or a debit note for this bill. |
| (blue outline) | Convert to Invoice | Starts a sales invoice from an approved quotation. |
| Open invoice | On a quotation that was already invoiced, opens that invoice. | |
| (red) | Delete | Deletes the document, after you confirm. |
| POS Print | Prints a sale as a receipt on 80 mm receipt paper, as long as the receipt (when the POS is on in Preferences). | |
| Prints it on A4 paper in its own layout, with a white background and page numbers, so there is nothing to adjust in the print window. Arabic and Kurdish print right to left. | ||
| Downloads it as a PDF file named after the document and its number (for example Sales Invoice INV-0001 - My Company - 2026-10-07.pdf). If the server can't make the PDF at that moment, the print window opens instead: choose Save as PDF there. | ||
| Excel | Downloads it as an Excel file. | |
| Send Mail | Emails it to the customer or supplier, if they have an email address and email settings are filled in. The email shows your logo, a summary, the items and totals, and attaches the document's PDF (you can turn the PDF off per document in the email settings). |
The first group (Edit, the next steps, Delete) comes first and the paper group (POS Print, Print, PDF, Excel, Send Mail) last; in Arabic and Kurdish the order runs from right to left.
Record Payment
Record Payment opens the same box on a sales invoice, purchase bill, expense voucher and asset bill. The title shows the document's number and its Balance Due. Fill in the amount, payment number, date, payment type, the cash or bank account, the project, a reference and a note, and the currency and rate when the payment is in another currency (the exchange gain or loss shows before you save). Save records it as a receipt or payment of its own; Cancel or the × closes the box without saving.
Amount in words
Under the totals, every invoice, quotation, credit and debit note, bill, expense, asset bill, receipt, payment, income and outcome voucher and bank transaction writes its total in words, with the currency name, for example One Million Two Hundred Fifty Thousand Iraqi Dinars Only. It is written in the language you are using in the app: in Arabic فقط مليون ومائتان وخمسون ألف دينار عراقي لا غير, in Kurdish تەنها یەک ملیۆن و دووسەد و پەنجا هەزار دیناری عێراقی. Switch the language and the words change with the rest of the document.
- The amount is the same total the document shows: in its own currency, or in the base currency when Show multi-currency is on in Preferences.
- Fils, cents and other small units are added only when the amount has them.
- Common currencies (IQD, USD, EUR, TRY, GBP and the Gulf currencies) are written by name. Any other currency is written by its code, with the fraction as, for example, 50/100.
- POS receipts show it as a small line under the totals. Document emails include it under the totals too. Journals, stock documents and reports don't show it.
Who created and changed a document
At the bottom of every invoice, bill, quotation, credit and debit note, receipt, payment, expense, income and outcome voucher, journal, adjustment, bank transaction, asset bill and payment, and stock adjustment and transfer, a thin line shows its audit details:
- Created by: the user's name, and the date and time the document was saved.
- Status, for documents that have one (for example Draft or Approved).
- Approved by (invoices, bills, credit and debit notes, expenses, asset bills, quotations) or Posted by (journals, adjustments, income and outcome vouchers): who approved or posted it and when. If an approved document is edited later, this shows who saved and posted it again. It is hidden while the document is a draft, and is cleared when a document goes back to draft or is unposted.
- Last modified by: who changed it last and when. It is hidden for a document that was never changed.
- Printed by: on paper and PDF only, the user who printed it and the time of printing, so you can tell which version a paper is.
In English, Created by is on the left and Last modified by on the right; in Arabic and Kurdish they swap sides. Users with the Users permission also see a History link that opens the activity log for that document.
Internal papers (bills, payments, vouchers, journals, stock documents) always print this line. Papers you give a customer (sales invoices, quotations, credit notes and receipts) show it on screen but print it only when Print audit info on customer documents is on in Preferences. POS receipts print one Cashier line instead.
Receipts, payments and journal entries
Near the end of a document, before the audit line, two sections can show. Both look the same on every document, and each one has a switch in Preferences › Documents (Preferences).
Receipts / Payments Made: a sales invoice lists the receipts recorded against it. A purchase bill, expense voucher or asset bill lists the payments made against it. Each row shows the date, the receipt or payment number (click it to open that receipt or payment), the reference and note, the payment type, the cash or bank account, and the amount it settled. When the payment was in another currency, the amount paid and the rate show under it. A Total row adds them up. These lists are on by default (Show receipts on sales invoices, Show payments on bills). You only see them if you have permission to view those receipts or payments. Turning a list off doesn't change the Payment Received and Balance Due totals.
Journal Entries: the accounts the document posted to, with debits first and credits indented under them, in the base currency, and a Total row where debit equals credit. When the entries belong to more than one project (lines split between projects), a Project column shows each entry's project. With multi-currency on, a line in another currency also shows its own amount and rate. Click an account to open it in the General Ledger for that day. It is off by default (Show journal entries on documents). Only users with the Journal view permission see it. It shows on invoices, credit and debit notes, bills, receipts, payments, expenses, income and outcome vouchers, asset bills and payments, and stock adjustments. A document that hasn't posted yet (see Documents and approval) shows nothing. Bank transactions keep their own journal table, and journals and adjustments already are journals. On papers you give a customer (sales invoices, credit notes and receipts) the journal shows on screen only and is never printed. Internal papers print it.
Dates and numbers
- Dates and times use the formats and time zone in Settings › Organization: every date box, list, report and document shows the same format in English, Arabic and Kurdish. Month boxes (payroll) show the month name and year, for example October 2026. Excel exports use the same format.
- Numbers always use
.for decimals and,for thousands, in every language. - Document numbers are given automatically when you save, with a prefix per document type (for example
SAIfor sales invoices andPUIfor purchase bills). You can change prefixes and suffixes in Numbering.
Who did what
Every record keeps who created and last changed it, and when. The company's recent activity (creates, changes, approvals, deletions, sign-ins) is in Users › Activity Log. See Activity log.
