Customer and supplier reports
These reports answer the everyday questions: who owes us what, since when, what did they buy, and what do we owe our suppliers. Customer reports need the Sales permission; supplier reports need Purchase.
Customer reports (Reports › Customers)
| Report | What it shows |
|---|---|
| Customer Statement | One customer's transactions in a period: Opening Balance, then each invoice, receipt, credit note and opening entry with Debit, Credit and running Balance, to the Closing Balance. In the base currency (the page says which), so invoices and receipts in different currencies add up. Click a voucher number to open the invoice, receipt or credit note. Print it, or click Email to send it to the customer: the email shows the opening and closing balance, the totals and the latest entries, with the whole statement attached as PDF (email settings). Also opens from the Statement button on the customer page. A receipt counts what it took off the customer, at the invoices' (and opening balance's) own rates; an exchange gain or loss from paying at another rate is not part of the customer's balance (it is in the Exchange Gain or Loss account). |
| Customer Balance Summary | Every customer's balance as of a date: invoiced, received, returns and the balance. Positive balance = the customer owes us. |
| Aged Receivables | What each customer owes, split by how late it is: Current, 1 - 30, 31 - 60, 61 - 90, > 90 days past the due date, plus Credits (unrefunded returns, cash not applied to invoices, credit opening balances) and the Total. Overdue only hides customers with nothing late. |
| Open Invoices | Every unpaid or partly paid invoice with due date, days overdue and balance due. |
| Customer Credit Limit | Customers with a credit limit: limit, balance, Used % and Available. Over the limit only narrows it down. |
| Customer Sales by Item | What each customer bought: quantity (in the base unit), returns, net quantity and net sales, before tax and invoice discount. |
| Customer Profitability | Net sales, cost of goods sold, Gross Profit and Margin per customer. Needs View Cost. |
| Customer Activity | Last sale and last receipt per customer, sales and invoices of the last 12 months, and who is Inactive (no sale in 30, 60, 90, 180 or 365 days). |
| Top Customers | Customers ranked by net sales (or another measure in Rank by), with their Share of all sales in the period. |
Receivables Summary and Payment Received (under Account Receivables) list invoices with their balances and all receipts in a period.
Supplier reports (Reports › Suppliers)
| Report | What it shows |
|---|---|
| Supplier Statement | One supplier's bills, payments, debit notes, expense and asset bills with running balance. A payment counts what it took off the supplier, at the bills' own rates; an exchange gain or loss from paying at another rate is not part of the supplier's balance. Click a voucher number to open the document. Email sends it to the supplier with the balances and the statement attached as PDF. |
| Supplier Balance Summary | Every supplier's balance as of a date. |
| Aged Payables | What you owe each supplier by age: current, 1 - 30, 31 - 60, 61 - 90, > 90 days. |
| Open Bills | Unpaid purchase, expense (on Accounts Payable) and asset bills. |
| Supplier Purchases by Item | What you bought from each supplier. |
| Supplier Activity | Last purchase and payment per supplier, and inactive suppliers. |
| Top Suppliers | Suppliers ranked by purchases. |
Customer Sales by Item, Customer Profitability, Customer Activity, Top Customers, Supplier Purchases by Item, Supplier Activity and Top Suppliers have a Project filter: they then count only documents of that project (and, in the activity reports, the balance of that project's documents and opening balances). Statements, balance summaries, aging, open invoices or bills and credit limits always cover the whole company.
Payables Summary and Payment Made (under Account Payables) list bills with their type and balance, and all payments in a period.
Contact lists (Reports › CRM)
Phone List and Contact List list customers and suppliers with their phone numbers, emails and addresses.
Good to know
- Balances include opening balances and leave drafts out.
- A supplier's balance also includes expense bills posted to Accounts Payable and asset bills, with their payments.
- Credit and debit notes lower the customer's or supplier's balance, but not the balance due of the original invoice or bill, so Open Invoices and Open Bills can show more than the statement balance. The statement shows the true balance.
