School setup

Before adding students and fees, set up your school: academic years, grades and classes. Go to Education section and use the links at the top (Academic years, Grades, Classes). You need the Classes permission (Education Section).

Academic years

An academic year has a name (for example 2026-2027) and its own start and end dates; a school year rarely matches your financial year. Tick Current year on the year you are working in: new enrollments, fees and the overview start from it. Only one year is current.

Grades

Grades are your levels (KG1, Grade 1…Grade 12, or course levels), with an Order. Inactive grades can't be chosen for new classes or fee plans.

Classes

A class belongs to a grade and a year (for example 5-A of Grade 5 in 2026-2027), with an optional Capacity (0 = no limit) and Homeroom teacher (one of your HR employees).

Students on a class card opens its list:

• Add a student places an applicant or enrolled student in the class. An applicant becomes Enrolled. A student can be in one class per year; adding them to another class of the same year moves them.
• The x removes a student from the class.
• Promote puts all the class's enrolled students into another class, normally next year's class of the next grade. Do this at the end of the year after making next year's classes.

A class with students, a grade or year used by classes, fee plans or charges can't be deleted.
