Sales quotations
A quotation (estimate) is a price offer you send to a customer before the sale. It doesn't touch your accounts or stock. When the customer accepts, you convert it into an invoice in one click.
Go to Sales › Sales Quotation. Quotations use the Sales permission.
Creating a quotation
- Click Add.
- Choose the Customer, or type a name in Manual Customer Name for someone who isn't a customer yet.
- Set the Quotation Date and Valid Until (on or after the quotation date), the Project, and the Currency if it isn't the base currency. Item prices are converted into that currency and every amount shows its base-currency value under it (Currencies).
- Add lines: item, description, Quantity, Rate, Tax and line Discount. Every line needs a quantity and an active tax (0% is fine).
- Optionally add a whole-document discount (Discount Type: % or amount), Notes and Terms & Conditions.
- Save as Draft or Save as Approve.
The quotation number is given when you save.
Statuses
| Status | Meaning |
|---|---|
| Draft | Being prepared; can be edited and deleted. |
| Approved | Ready to send and convert. |
| Invoiced | Converted into an invoice; it can't be edited or deleted. |
Sending it
Open the quotation and use Print or Send Mail. The printout shows the valid-until date: "This quotation is valid until the date shown above. Prices and availability may change after that date."
Converting to an invoice
- Open an approved quotation and click Convert to Invoice.
- A new sales invoice opens with the customer, lines, prices and discounts filled in. Check the warehouse of each line and the dates.
- Save the invoice. The quotation becomes Invoiced and links to the invoice.
If that invoice is later deleted, the quotation unlocks again, so you can edit or convert it again.
