Preferences

Preferences turn features on and off for the whole company, so the screens show only what you use. Go to Settings › Preferences.

The switches are split into tabs: General, Documents, Items and stock and Controls. Click a tab at the top, or use Back and Next, to move between them. Save keeps the switches on every tab at once, so you can change several tabs and save once.

Some switches appear only when the matching section is in your plan.

General

Switch When on
Show Multi Currency Documents can use currencies other than the base currency. Can't be turned off once transactions or opening balances exist. See Currencies.
Show POS The POS and Orders links show at the top of the screen. See POS.

Cost Centers & Branches (shown when your plan includes it): Profit and Loss by Project, splitting journal, adjustment and expense lines between projects, and the project columns in the ledger reports. While it is on, What do you call your projects? appears under it: Project, Branch, Cost Center or Department. Only the words on screen change; see Branches and cost centers.

Documents

Switch When on
Discount Discount fields show on sales and purchase documents. Turning it off keeps discounts already saved on documents.
Tax On Sales The tax column shows on sales documents.
Print audit info on customer documents Printed and PDF sales invoices, quotations, credit notes and receipts also show who created and last modified them, and who printed them. Off by default, so staff names stay off what the customer gets; the details still show on screen, and internal papers always print them. See Using the app.
Vat On Purchase The tax column shows on purchase bills and debit notes.
Show receipts on sales invoices The receipts recorded against a sales invoice are listed at the end of it, on screen and on paper. On by default. When off, the list is hidden but the Payment Received and Balance Due totals still show. Shown when your plan has sales.
Show payments on bills The payments made against a purchase bill, expense voucher or asset bill are listed at the end of it, on screen and on paper. On by default.
Show journal entries on documents Every invoice, credit and debit note, bill, receipt, payment, expense, income and outcome voucher, asset bill and payment, and stock adjustment ends with the journal entries it posted. Off by default. Only users with the Journal view permission see them; customer papers show them on screen only.

See Receipts, payments and journal entries for what these sections show.

Controls

Switch When on
Negative Cash Cash accounts may go below zero. When off (recommended), payments, outcome vouchers, journals and journal adjustments, bank transactions, salary vouchers and advances that would make a cash account negative are refused: "Negative cash is disabled...". The same goes for edits and deletes that take money that came in back out (receipts, income vouchers, bank withdrawals, journals, adjustments, opening balances). When on, they ask you to confirm first ("... creates a negative cash balance. Continue?"). The check looks at the document's own date as well as today: a back-dated payment is refused when the cash account would end any day from that date on below zero, even if it has enough today. A day that was already below zero (from when Negative Cash was on) only counts when the document makes it worse.
Budget Warning Saving an expense, outcome voucher, purchase bill or journal that takes an expense account over its approved budget asks you to confirm. See Budgets.

Negative stock is never allowed, whatever the settings. See Stock rules.
