Projects

A project is a label you put on every transaction so you can see results separately: per branch, shop, site, contract or department. Every document in Zhmara X has a Project field, and almost every report can be filtered by project.

When to use projects

  • You run several branches or shops and want a profit and loss for each.
  • You work on contracts or sites and want to know what each one earned and cost.
  • You want budgets per department. Budgets are always per project; see Budgets.

If you don't need this, keep the single default project that was created with your company and ignore the field: it is filled in for you.

What you call projects

If your company thinks in branches, cost centers or departments, users with the Company Profile edit permission can rename projects in Settings › Preferences › General (or in the setup wizard) while Cost Centers & Branches is on in Settings › Preferences › General (your plan must include it): What do you call your projects? Choose Project, Branch, Cost Center or Department. Every screen, report, printout and email of your company then uses that word, in English, Arabic and Kurdish, for example Choose Branch or Profit and Loss by Cost Center. Nothing else changes: your data, reports, permissions and this help center keep working the same (the help center always says "project").

Managing projects

Go to Projects section › Projects.

  • Add: enter the Project Name and save. Names must be unique.
  • Edit or Delete from the list. A project used on transactions or documents can't be deleted, and the last project can't be deleted either ("This project cannot be deleted it should be minimal have 1 Project.").

The default project

The project chosen in Settings › Organization › Default Project is filled in on every new document. You can change it on each document before saving. Credit notes and debit notes take the project of the invoice or bill they return.

In manual journals, journal adjustments and expenses, each line can have its own project when your company has more than one and Cost Centers & Branches is on in Settings › Preferences › General (your plan must include it) (see Branches and cost centers), so one document can be split between projects (for example rent shared by two branches). A line starts as the document's project and follows it until you choose another one. See Manual journals and Expenses.

Stock adjustments and stock counts have their own Project field too, so stock found, lost or damaged in a branch is posted to that branch. Items don't belong to a project: every project can buy and sell the same items, and each sale, purchase or adjustment is posted to the project chosen on that document.

Projects in reports and closing

  • Profit and Loss by Project (while Cost Centers & Branches is on in Settings › Preferences › General (your plan must include it)) shows every project side by side, one column each, with a total. See Financial statements.
  • These reports have a Project filter: trial balance, profit and loss, balance sheet, general ledger, account transactions, cash flow, the sales, purchase, receivable, payable, income, outcome, expense and asset reports, Customer Sales by Item, Customer Profitability, Customer Activity, Top Customers, Supplier Purchases by Item, Supplier Activity, Top Suppliers, and the monthly salary, daily salary and advance payment reports.
  • Income and expenses are exact per project. Cash, bank, stock and customer or supplier balances are shared by the company, so a balance sheet or trial balance for one project may not balance; the report shows a note when you choose a project. Reports about balances or stock on hand (statements, aging, inventory, bank and cash book) have no project filter for the same reason.
  • Accounts, customers, suppliers and bank accounts have an Opening Balance Project: the project their opening balance is posted to. Their later documents use the project chosen on each document.
  • Closing the financial year is done per project: each project's income and expenses are moved to retained earnings separately.
