Student fees

Students are charged with ordinary sales invoices and pay with ordinary receipts, so partial payments, the customer statement, aging and every sales report work as usual. You need the Student Fees permission (Education Section); making the invoices also needs Sales (Create and Approve).

Discounts and optional fees

On the student's Fees tab:

  • Add discount: for a year, a type (Sibling, Scholarship, Staff child, Early payment, Other), a percent and/or an amount, and a reason. Discounts are applied when the year's invoice is made.
  • Optional fees: tick the optional fees of the current year's plan the student takes (for example the bus) and Save.

Generate charges

Go to Education section › Generate charges:

  1. Choose the Year, and a grade or class (or all).
  2. The list shows each enrolled student with the fees, optional fees, discount and total. Students already charged for the year, without a fee plan for their grade, or not enrolled are greyed out.
  3. Tick the students and click Create invoices.

Each student gets one approved sales invoice for the year, to their customer, due on the schedule's last date. Stock goes down for goods (books) and the sale is posted, as for any invoice. Students that couldn't be charged are listed with the reason (for example not enough stock, or a credit limit).

Extra charges

Extra charge on the student's Fees tab makes a separate invoice for one item and amount, for example a school trip or a lost book.

Taking payments

Open the invoice from the student's Fees tab and use Record Payment. Any part of the amount is fine; the invoice becomes Partially Paid, then Paid. One receipt can also pay several invoices.

The fee account

The student's Fees tab shows:

  • Charged, Paid, Balance due and Overdue.
  • Every invoice with its total, paid and balance.
  • The Payment schedule of the year: each date, its amount, what should be paid by then, and whether it is paid, overdue or upcoming.
  • Print statement prints the fee statement for the parents.

Student fees overview

Education section › Student Fees shows a year's fees by class (billed, collected, outstanding, overdue) and the Overdue list: each student behind the schedule, their main guardian and phone, how much is overdue and since when. Print prints it.

The Overview page shows students per grade, applicants, and this year's fees at a glance.
