Stock count

ئەم بابەتە هێشتا وەرنەگێڕدراوەتە سەر زمانەکەت، بۆیە وەشانە ئینگلیزییەکەی پیشان دەدرێت.

A stock count records what is physically on the shelves of a warehouse. When you complete it, the differences from the system quantities are posted as one stock adjustment (reason: Count Difference), so stock in the system matches reality again.

Go to Products / Services › Stock Count and click New Count. Stock counts need Show Stock Adjustment on in Preferences and use the Adjustment permission.

Counting

  1. Choose the Warehouse, the Count Date, the Project (the stock adjustment made when you complete the count is posted to it) and, optionally, a Category to count only part of the stock. Add a Narration if you like.
  2. Click Load items. One line appears for each item, variant and batch with stock records in that warehouse, with its System Qty.
  3. Enter the Counted Qty for each line as you count. Use the search box (item, code or batch) to find lines quickly.
    • Lines you leave empty are treated as matching the system: Uncounted = system quantity.
    • Only differences shows just the lines where counted and system quantities differ.
  4. Save draft at any time and continue later.

Reload items replaces the lines with fresh system quantities and clears what you entered.

Completing the count

Click Complete count and confirm (this posts at once, so it needs the approve permission for stock adjustments). In one step:

  • the differences are calculated against the stock at that moment;
  • one stock adjustment is posted: Gain lines (found stock) come in at the average cost, or the item's purchase rate if it has no average cost; Loss lines (missing stock) go out at average cost;
  • the count and its adjustment are locked.

If everything matched, no adjustment is needed ("Everything matched; no adjustment was needed.").

Count when nothing is being sold or received in that warehouse. Sales made between loading and completing change the system quantity, and the difference is worked out at completion.

After completing

  • A completed count can't be changed or deleted, and neither can its adjustment.
  • The count shows the adjustment number it posted, and the list shows each count's project, status and value of differences.
  • To fix a mistake after completing, make a normal stock adjustment.
