Financial statements and ledgers

هذه المقالة غير مترجمة إلى لغتك بعد، لذلك تُعرض النسخة الإنجليزية.

The Accounting & Finance reports show your accounts as an accountant sees them: the trial balance, profit and loss, balance sheet, cash flow, and every entry per account. They need the accounting permissions and the Accounting section in your plan.

All of them can be filtered by date range and Project, and printed or exported to PDF and Excel.

Trial Balance

Every account with its total debits and credits (or debit/credit balance) for the period. Total debits always equal total credits; if you are checking your books, start here.

Profit and Loss

Income minus expenses for the period: sales and other income, cost of goods sold (giving the gross profit), then operating and other expenses, ending in the net profit or loss. Profit and Loss Summary shows the same at group level, on one page.

Profit and Loss by Project

Shown while Cost Centers & Branches is on in Settings › Preferences › General (your plan must include it). The income and expense accounts of the period with one column per project and a Total column, ending in each project's net profit or loss. Use it to compare branches, sites or contracts side by side. Only projects with income or expenses in the period get a column. Click an amount to open the General Ledger of that account for that project. See Projects.

Balance Sheet

What the company owns (assets), owes (liabilities) and the owners' equity, on the To date. Assets = liabilities + equity, with the current year's profit included in equity. Balance Sheet Summary shows group totals only.

When you choose one project, the Balance Sheet, Balance Sheet Summary and Trial Balance show a note: income and expenses are exact per project, but cash, bank, stock and customer or supplier balances are shared by the company, so for one project they may not balance. Stock bought for one project and sold by another, for example, leaves the first with stock and the second with less than nothing.

Cash Flow Statement

Where the cash came from and where it went in the period: cash in and out of all cash and bank accounts, split into operating, investing and financing activities, from the opening to the closing cash and bank balance. See Cash flow statement.

General Ledger

Every entry of one account (or all accounts) in the period, with an opening balance, debits, credits and a running balance. Use it to see exactly what makes up an account's balance. With all projects shown (and more than one project in your company), a Project column shows the project of each entry, including each line of a journal, expense or adjustment split between projects.

Account Transaction

The entries of the period listed by document (voucher), with the accounts each one posted to. Use it to check what a document posted. With all projects shown, a Project column shows the project of each entry (also in the Excel export).

Tips

  • After year-end closing, income and expense accounts start at zero in the new year; their balances are in retained earnings. See Financial years and closing.
  • If the balance sheet shows an amount in Opening Balance Equity, some opening balances don't balance each other yet. See Opening balances.
  • To see what makes up an amount, click the account name: the General Ledger opens for that account with the same period and project. Click a voucher number there to open the document that caused the entry. See Using reports.
